Administrative Assistant

We are seeking a professional, organized, and detail-oriented Administrative Assistant to support the Office Manager and help ensure the smooth day-to-day operation of a busy office. This individual will serve as a key member of a small team, providing administrative support, maintaining accurate documentation, and delivering exceptional internal and external customer service.

Key Responsibilities
- Provide direct administrative support to the Office Manager and office leadership.
- Prepare, edit, format, and distribute reports, correspondence, and business documents.
- Review reports and documentation for accuracy, completeness, and quality.
- Maintain organized digital and physical filing systems.
- Answer and direct incoming phone calls with professionalism and excellent customer service.
- Coordinate calendars, meetings, and schedules as needed.
- Assist with project documentation, vendor paperwork, and general office administration.
- Support office operations, including supplies management and administrative processes.
- Perform additional administrative duties to ensure efficient daily operations.
Qualifications
Required Skills
- Previous administrative support experience.
- Strong Microsoft Office skills, with advanced Excel proficiency required.
- Experience using Microsoft Word and Adobe Acrobat.
- Excellent organizational skills and attention to detail.
- Professional communication and phone etiquette.
- Ability to review, proofread, and process reports accurately.
- Strong time management and multitasking abilities.
Preferred Experience
- Experience within construction, engineering, consulting, or another fast-paced professional environment.
